Procurement packages
Procurements are where a request moves from a draft document, through review, to approval. This guide covers the board and the document editor.
Good to know
You only see your own procurement packages. Approvers can see every package once it reaches In Review or Approved, plus their own drafts.
Your procurements board
Getting to procurements
Click Procurements in the left-hand sidebar to see every package organized by stage. If you don’t have any yet, you’ll see a simple “No procurements yet” message.
Searching
Type into Search procurements to filter the board by procurement name, creator, or program. Clear the field to see everything again.
Switching between kanban and grid
Prefer a table? Click the grid icon next to + New Procurement to leave the kanban layout. Click the kanban icon to switch back.
Filtering by date
Click Date in the top-right filter area to open a panel with quick presets — Today, This Week, Last Quarter — plus a calendar.
- Choose a preset, or use the arrows to browse to a different month.
- Click a specific date to filter by it. Future dates can’t be selected.
Tip
Approvers also get All and Me buttons, for switching between everyone’s packages and just their own.
Viewing a procurement card
Hover over any card for more detail: the procurement name, a “…” menu, how many documents it holds, when it was last updated, the document names, who wrote them, and the created date.
- In Review cards may show a status badge, including a triangle icon if something was rejected.
- Approved cards show the rating score given during approval.
Creating a new procurement
- Choose a Template — required. It determines what the package contains.
- Choose a Program — optional.
- Name your procurement — required.
- Add a description — optional.
- Click Create. Your package appears as a card in the Draft column.
Good to know
Nothing is saved until you click Create. Closing the window or clicking Cancel discards it.
Editing procurement details
Click the “…” menu on any of your cards and choose Edit Procurement to update the name, program, or description. Click Save to keep your changes, or Cancel to discard them.
The procurement editor
Opening and editing a document
Click any procurement card to open it in the document editor. The breadcrumb and the document tab both show a status badge — Draft, for example — so you always know what stage you’re in.
The toolbar gives you everything you’d expect from a text editor: undo and redo, text styles and font size, bold, italic, underline and strikethrough, text color and fill, alignment, lists, tables, links, comments, and more. A word and character count sits at the bottom and updates as you type.
Note
Editing is only available while a package is in Draft. Once it moves to In Review, you can switch to Viewing or Suggesting mode instead.
Exporting a document
- Click the download icon in the bottom-right corner of the document.
- Confirm the export prompt.
- Rename the file if you like, choose where to save it, and download.
Submitting for review
When your draft is ready, click Submit For Review at the bottom right. A confirmation shows which approvers will receive it — confirm to send it on, or cancel to keep working.
Getting help from the AI Assistant
Use one of the three starter prompts, or type your own question.
- Click the clock icon to see past conversations, or search with Find a conversation.
- Click the + icon any time to start fresh.
See Editor AI Assistant for the full details.
Attachments and reference documents
Switch to the Attachments tab at the bottom of the right-hand panel to manage supporting files. Click Click or drag files to upload (or the + icon), or drag a file straight onto the section. Below your attachments, Grounding Documents shows reference material inherited from the template this package was built on.
Viewing package info
Click the Info tab for a read-only summary: who created the package, its description, stats like length and dates, status and program details, and the documents inside it. Some details — a Restored timestamp, for instance — only appear when they apply.
